Every job with its checklist, and a PDF when it's done.
Write what needs doing on the job, or once on the site. Cleaners tick items off on their phone and take before and after photos; when they finish, you get the PDF report to send to the client.
- Written once, back on every jobThe site checklist goes into every job there on its own, ahead of the items for that single job.
- Required items in plain sightIf one is missing, the cleaner sees it listed before finishing and can go back to the checklist.
- A PDF to send to the clientTimes, cleaners, ticked items, notes and photos of the job, in a single file.
20 minutes, on your own data.
The client asks what was done, and all you have is “all good”.
Today the to-do list lives in a morning voice note, and what got done is known only to whoever was there.
When a client complains, it's your cleaner's word against theirs, plus a few photos scattered across the chat.
With CleanFlow every job has its checklist on the cleaner's phone, and when it's closed it becomes a PDF with times, ticks, notes and photos.
From the to-do list to the PDF for the client.
Write what needs doing
On the job when you create it, or on the site, once and for all. Mark as required the items that can't be skipped.
Cleaners tick off on site
They tap Start job, tick items as they go and take before and after photos. With no signal, the start, ticks, photos and finish wait on the phone and go through when the connection is back.
They finish the job
They tap Finish job and confirm. If a required item is missing they see it listed: back to the checklist, or finish anyway.
The PDF is ready
The finished job shows up in Reports and you get a notification. Download the PDF, for one job or several at once, and send it to the client yourself.
Checklists, site checklists, PDF reports and manuals are on every plan.
Three jobs, and what the report says.
Example
At Magnolia B&B the checklist has 8 items. Ahmed is about to finish without ticking “Change towels”, which is required.
He sees it listed before finishing. If he confirms anyway, that item stays unticked in the PDF: 7 of 8.
Elena cleans the changing rooms at FitZone Gym, in the basement, with no signal, and finishes at 10:40.
Ticks, photos and the finish wait on the phone. They go through when the connection is back, and the finish time stays 10:40.
You add “Front door glass” to the Marino Law Office checklist while Marco is working there.
The item goes into the jobs there that haven't started yet. Marco's job and the finished ones stay as they were.
What you stop explaining out loud.
- Sending the morning voice note with the to-do list.
- Explaining to every new cleaner how to lock up that B&B.
- Asking for photos on WhatsApp at the end of the job.
- Piecing together from memory what was done when the client calls.
Doubts before you hand it to your team.
«My cleaners won't look at the checklist.»
It's right in front of them as soon as they start the job, on the same screen as the photos and the button to finish. If they skip a required item, CleanFlow shows it to them before they finish.
«What if a required item can't be done?»
The job still closes: the warning doesn't block it. With Message the office the cleaner tells you why, and you get an email.
«The client wants proof we were there.»
The PDF shows what time the cleaner started and finished, which items were ticked and which weren't, and the before and after photos. It's the document to send to a client who wants an account of the work.
Questions about checklists and reports.
Your company name, the client, date, site with its address, service, cleaners, and start and finish times. Then the checklist, with the items done and not done, the notes and up to 12 before and after photos.
No: only the owner opens reports and their PDFs. The supervisor can write checklists and manuals.
In Manuals: a title, the type of site and the text. You or your supervisor write them, and cleaners read them on their phone, under Manuals in their app.
